Nicolette Donovan and Tyler Givens from Bureau attended this year&#8217;s event, sitting in on sessions from Atlassian, Meta, LinkedIn, PwC, BCG and a professional services panel with JLL, EY, Deloitte and KPMG.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">One theme ran through almost every session. AI is changing what the office is for, and companies are now judging space by whether it supports the work people do there, not by headcount and desk counts. And one problem kept coming up as the place where that shift is most visible: the meeting room.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong><strong>Key Takeaways<\/strong><\/strong><\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Meeting rooms are still the pain point. The professional services panel cited 30% daily oversubscription of conference rooms.<\/li>\n\n\n\n<li>Workplace planning now starts with the business&#8217;s biggest challenges, not with a count of workstations and offices.<\/li>\n\n\n\n<li>Flexibility is the default. Leaders want modular, movable fit-outs that can change as technology and work change, rather than permanent base-build changes.<\/li>\n\n\n\n<li>The goal is &#8220;replacing unused space with the right space,&#8221; not adding more space.<\/li>\n\n\n\n<li>Measurement is moving from whether people are in a space to what the space is like, including acoustics, light and air quality both inside and outside booths.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><strong><strong><strong><strong>Meeting rooms are still the bottleneck<\/strong><\/strong><\/strong><\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The professional services panel, with workplace leaders from JLL, EY, Deloitte and KPMG, put a number on a problem most office workers already feel: conference rooms are oversubscribed by 30% every day.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Part of the reason is that people are coming back. Panelists said attendance has risen over the past year or two, and clients in particular want to meet in person. At KPMG, every client asks to meet in KPMG&#8217;s space, and at EY, clients make up 20% of occupancy. The panel also said demand for new technology and refreshed floors has doubled.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The other part is how meeting rooms get used. A room built for twelve gets booked for a two-person check-in or a solo video call because there&#8217;s nowhere else to go. Atlassian&#8217;s research points the same way: 87% of knowledge workers say they lack time to coordinate, and the short, fast alignment conversations they need don&#8217;t fit neatly into a formal meeting room booking.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong><strong><strong><strong>The question has changed from &#8220;how many desks?&#8221; to &#8220;what does the business need?&#8221;<\/strong><\/strong><\/strong><\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Several speakers described the same shift in how workplace planning starts. The question used to be &#8220;how many workstations and offices do we need?&#8221; Now it&#8217;s &#8220;what are the big challenges of the business right now?&#8221;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Atlassian made this concrete. Its old office model listed focus, meaning deep, heads-down work, as the main priority, with meeting and connecting alongside it. Its new model is built around three behaviors:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Ideate: brainstorming and generating ideas together.<\/li>\n\n\n\n<li>Calibrate: rapid review and alignment.<\/li>\n\n\n\n<li>Regulate: short restorative breaks.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Atlassian&#8217;s point was that environments shape behavior, and as AI changes how people work, workplace teams need to decide which behaviors they want to encourage and design for them. Focus doesn&#8217;t disappear from that picture, but it&#8217;s no longer the only job the office has to do.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong><strong><strong><strong>Flexibility is now the default<\/strong><\/strong><\/strong><\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">If there was one word that came up in nearly every session, it was flexibility. Leaders want spaces that can change as quickly as their teams and tools do.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Meta&#8217;s head of workplace said the extra cost of flexibility is much easier to justify when you ask, &#8220;what&#8217;s the cost if we&#8217;re wrong?&#8221;<\/li>\n\n\n\n<li>Deloitte said it builds in flexibility so that it can adapt its space in a few years&#8217; time.<\/li>\n\n\n\n<li>Coinbase built in movable walls, and its conference tables have monitors that rise so the tables can double as workstations.<\/li>\n\n\n\n<li>Atlassian&#8217;s design principles include loose furniture and modular fit-outs instead of base-build changes, and treating every space as a pilot measured on how it&#8217;s used.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">KPMG described why this matters for long-term planning. With a portfolio of around 4 million square feet and leases that run 10 to 15 years, KPMG looks at buildings five years before a lease starts and plans for people who are in middle school today.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The line that stood out most for us was a simple one: the goal isn&#8217;t adding space, it&#8217;s &#8220;replacing unused space with the right space.&#8221;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong><strong><strong><strong>Measuring what it&#8217;s like inside the room<\/strong><\/strong><\/strong><\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Workplace measurement used to mean occupancy: is anyone there? At WorkTech, the focus had moved to what the space is like for the people using it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Sensor company Kaiterra summed it up: &#8220;We build the box, but forget to measure it.&#8221; Kaiterra and others are measuring acoustics, light, temperature and air quality, both in the open office and inside booths, and setting acceptable ranges so facilities teams can step in when a space drifts outside them. XY Sense is looking at what people do inside booths and raised the idea of booths designed around personas, not just sizes.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Live polls in the room showed how much work is left. When asked where their biggest workplace performance gap was, 33% of respondents said adapting space and services as needs change, and 19% said demonstrating value against cost.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong><strong><strong><strong>What this means for workplace leaders<\/strong><\/strong><\/strong><\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The sessions pointed to a few practical steps for anyone planning or running an office:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Start with the work, not the headcount. Map the behaviors you need the space to support, such as ideation, quick alignment, focus and recovery, before you count desks.<\/li>\n\n\n\n<li>Take pressure off the big rooms. Give one- and two-person calls and quick check-ins somewhere to go, so conference rooms are free for the meetings that need them.<\/li>\n\n\n\n<li>Choose space you can move. Modular, freestanding options let you change layouts as teams and technology change, without a new build-out each time.<\/li>\n\n\n\n<li>Measure the experience. Track how spaces are used and what conditions are like inside them, then adjust.<\/li>\n\n\n\n<li>Treat changes as pilots.
